Expectations of Concurrent Session Presenters

PRESENTER CONFERENCE REGISTRATION

Presenters are required to register and attend the full conference. Click here to register.

WHAT TO BRING

  • Laptop computer (if you indicated on your speaker agreement you would provide)
  • Your presentation on CD/DVD or USB thumb drive
  • Presenter notes or Instructor Guide
  • Presenter biography and/or business cards
  • Copies / handouts - optional

SPEAKER PREP ROOM

HOURS: Monday - Thursday 7:30AM -5:00PM
LOCATION: TBD

The Speaker Prep Room is available for ASFPM conference presenters to work on their presentations and drop off their concurrent session presentation when it is ready. A computer and printer (for speaker's notes only) will be available. A volunteer will be present if you have any questions or problems. NOTE: in the Speaker Prep Room there will be (no Internet availability).

Concurrent Session Presenters must bring their presentation to the Speaker Prep Room by 5:00pm the day before their session. Presenters who don't speak until later in the week are asked to drop their presentations off early in the week and get it out of the way. Presenters who arrive in Grand Rapids after hours on Monday, are asked to bring their presentation to the Speaker Prep Room before or during the plenary session, which kicks off the conference on Tuesday morning at 8:30am. Please use the following file naming convention for your presentation: {Session Letter and Number}-{Lead presenter last name}, for example, "C4-McMaster".

CONCURRENT SESSION AGENDA & TIMING

Speakers have a maximum of 30 minutes for their presentation including Q&A time. If a presenter takes the entire 30 minutes for their presentation, the session moderator will be instructed to move on to the next speaker. After all three presenters have concluded in a session, there can be additional Q&A time for all speakers if time is available.

Speakers are expected to bring their presentation to the conference on a portable USB storage device. CDs and DVDs are also acceptable. It is strongly recommended that presenters bring their presentation on more than one storage device in case something happens to one of them. PRESENTATIONS - FORMATTING & PREPARATION

Laptops at the conference will be running PowerPoint 2010 or 2013 on Windows 7. This version is capable of running presentations created using older versions of PowerPoint.  Speakers are expected to bring their presentation to the conference on a portable USB storage device (also called "thumb drive", "memory stick", etc.). CDs and DVDs are also acceptable. To be safe, it is recommended that you bring your presentation on more than one storage device in case something happens to one of them. Concurren Session Presenters: please use the following file naming convention for your presentation: {Session Letter and Number}-{Lead presenter last name}, for example, "C4-McMaster".

For presenters who plan to use an embedded video in their presentation, it is recommended that they use a file format that is readily recognizable by a standard computer. There have been some complications with embedded videos in the past, usually as a result of an additional software required on the laptop. It is recommended that presenters do a trial run on the computer in the Speaker Prep Room or your meeting room before your presentation.

SHIPPING MATERIALS AHEAD

ASFPM does not provide storage or on-site shipping services for presenters. Presenters are responsible for making arrangements should they need to ship materials in advance. Please note there may be a daily storage fee for this service. Contact your hotel in Kansas City or the Harvest Business Center in the Convention Center Lobby to set up an account and make shipping arrangements.

ON-SITE PRINTING SERVICES

ASFPM does not provide storage or print handouts for presenters. Handouts are provided at the discretion of the presenter. Copying and print services are the presenter’s responsibility and expense. Presenters who plan to use a Kansas City printer nearby should contact a nearby printer or the Harvest Business Center in the Convention Center Lobby to setup an account. REGISTRATION NUMBERS

Concurrent sessions are walk-in sessions and therefore do not have registration lists or numbers for attendees.
